Delete your Commonkeep account

You can ask us to close your Commonkeep account and erase your personal details at any time. It's free. This page is for the Commonkeep app (app.commonkeep.mobile) and for anyone who uses it through their housing society.

How to ask

In the app (the quickest: a minute, and it is done at once).

  1. Open the You tab, then Privacy & data, then Delete my account. The screen shows what is erased and what stays.
  2. If you hold a committee role, the app tells you which one and asks you to hand it over first (see below).
  3. If you have not signed in lately, the app asks you to sign in again with a code. It brings you back to the same screen.
  4. Type DELETE and hold the button. Your details are erased at once and you are signed out.

By email, if you can't use the app or have already lost your phone.

  1. Email [email protected] with the subject “Delete my account”. Send it from, or mention, the mobile number or email address you log in with, and the name of your society or block.
  2. We'll confirm it's you, usually by sending a one-time code to that number or address.
  3. We acknowledge your request within 7 days and complete it within 30 days, and tell your society's admin so they can update their records.

Through your society. You can also ask your society's committee or admin, who can pass your request to us.

Not a member any more, or no app? Email is the way. Everything below applies either way.

If you hold a role, hand it over first

If you are a treasurer, committee head, spender, backup approver or admin, your society must not be left without someone to sign. Ask your admin to end your role or hand it over to the person taking over. In the app, Delete my account names the role that is in the way and opens the handover pack. If you ask by email, we tell you if a role of yours is the only thing holding up your request, and we finish it as soon as the role has moved.

What we erase

In the app this happens at once. A request by email is carried out by a member of our team, by hand, who tells you when it is done. Either way:

  • Close your access. Your account is deactivated: you are logged out everywhere and can't log in again.
  • Remove your phone number and email address.
  • Replace your name with “Former member” and your flat number.
  • Remove the text of the comments you posted in expense discussions: they read “[removed at member's request]”.
  • End your devices. Your login sessions end and your phone's notification address is removed, so reminders stop.
  • Clear your notification list, any free text you wrote on your own privacy requests, and any invitation you sent that was not used yet.

Erasure cannot be undone. If you come back to the society later, the admin adds you as a new member.

What stays, and why

Some records belong to your society's accounts, and the law requires the society to keep them: expenses you captured or approved, receipts, maintenance or service-charge dues and payments for your flat, and the audit trail. That includes comments you wrote while approving, returning or rejecting an expense, or on a payment rejection or reversal: they are part of the approval record. These stay in the society's books, linked only to “Former member · Flat A-202” (your own flat), until the legal retention period ends: by default 8 years after the end of the financial year in India. After that they can be deleted. We do not delete them automatically yet; it is a reviewed manual step.

Financial records are never edited, even on request. That is what makes them trustworthy for every owner. If something recorded against your flat is wrong, the treasurer records a visible correcting entry.
